Stop switching between tabs to handle customer emails. With Smartsupp's email integration, every incoming message lands in your Smartsupp inbox alongside chat conversations — and replies are sent right back from the same place. This article walks you through connecting Gmail, Seznam, and any other provider via SMTP/IMAP.
We've broken the article into a few sections:
Email integration overview
The email integration lets you receive and reply to emails directly from your Smartsupp inbox — no more jumping between Gmail, Seznam, or any other webmail. Each new email creates a new conversation in Smartsupp; replies stay grouped in the same thread.
Key things to know before you start:
Available to all active agents on your account.
You can connect multiple email providers at the same time.
Each agent sees the email subject and can attach or download files.
Sync starts from the moment of integration — older emails are not pulled into Smartsupp.
Beta notice: Email integration is currently in Beta and free to use. Some functionality may be limited during this phase, and limits may be introduced once Beta ends. We'd love your feedback while it's still in development.
Tip: Each agent can set up a personal email signature that's added automatically to every reply. See how to configure it.
To start, open Settings → Integrations and click Connect next to Email integration. You can also access this from the link inside your inbox.
Connect Gmail
Gmail uses Google's secure OAuth flow, so you don't enter your password into Smartsupp.
Step 1. In the provider list, choose Gmail. You'll be redirected to Google's sign-in screen.
Step 2. Select the Gmail address you want to connect (or sign in to a different account) and confirm any security prompts Google shows you.
Step 3. Grant the requested permissions so Smartsupp can read and send emails on your behalf.
Step 4. Once authorization is complete, you're redirected back to your Smartsupp dashboard — Gmail is now connected.
Note: Authorization runs entirely on Google's side — your Gmail credentials are never visible to or stored by Smartsupp.
Connect Seznam
For Seznam (and a few similar providers shown in the list), you sign in with your email username and password directly inside the integration form.
Step 1. Pick Seznam from the provider list.
Step 2. Enter your email address, login, and password. Optionally add a sender name that shows up in your replies.
Step 3. Click Finish to save.
Note: Your credentials are sent securely to your email provider and aren't stored or visible inside Smartsupp.
Connect other email providers
Have an inbox with a different provider? You can still connect it using SMTP/IMAP. Each provider publishes their own server settings — usually on a help page or via their support team. Below are direct links to the SMTP/IMAP settings for the most common providers:
Yahoo — Yahoo Mail SMTP/IMAP settings
Apple Mail (iCloud) — iCloud Mail server settings
Proton Mail — Proton SMTP submission
AOL Mail — AOL Mail with other apps
Zoho Mail — Zoho IMAP access
GMX — GMX IMAP server settings
Mail.com — Mail.com IMAP server settings
HubSpot — HubSpot connected email IMAP
Step 1. In Smartsupp, open Settings → Integrations and click Connect next to Email integration. You can also start the flow directly from the Smartsupp inbox.
Step 2. Fill in the SMTP and IMAP details from your provider's documentation, then click Continue.
Step 3. Enter your email login and password, then click Finish. The integration is now ready to use.
